Direct Mail Services

Standard Direct Mail Services

Standard direct mail is the foundation of most print marketing campaigns. It combines high-volume printing with USPS standard or first-class mailing services to deliver postcards, letters, brochures, flyers, and self-mailers to large recipient lists at a predictable cost. When you need to reach thousands of people reliably and affordably, standard direct mail is the right starting point.

Copies America manages every step of the standard direct mail process in-house. We print your pieces, apply addressing, sort by USPS postal zone for maximum postage savings, bundle and tray for drop-off, and deliver directly to the post office - so your campaign moves from approved artwork to the mail stream as efficiently as possible.

In an era of overflowing email inboxes and digital fatigue, physical mail stands out. A well-designed piece lands in your customer's hands, gets seen immediately, and stays on the counter far longer than any digital ad. Combined with precise list targeting and response tracking via QR codes, personalized URLs, and unique phone numbers, standard direct mail delivers measurable ROI that competes directly with digital channels - at a cost that scales with your volume.

How Standard Direct Mail Works

How Standard Direct Mail Works
Step 1
Design and Print
Your mail piece is printed on your chosen paper stock - postcards, flyers, letters, brochures, or self-mailers. Full-color offset or digital printing at production quality. Our design team can create a mail piece that meets postal regulations and maximizes visual impact in the mailbox.
Step 2
List Preparation
Your mailing list is processed through CASS certification and NCOA (National Change of Address) to verify and update addresses. Duplicates are removed, addresses standardized to USPS format, and the list sorted by postal zone to qualify for presort discounts.
Step 3
Addressing
Recipient addresses are applied via inkjet addressing or printed directly on the mail piece. For variable data campaigns, each piece is uniquely printed with personalized names, offers, or custom messages matched to each record in your list.
Step 4
Postal Sorting
All pieces are sorted, bundled, and trayed to USPS presort requirements to qualify for the lowest available postage rate. We prepare all required USPS documentation and postage statements for your mailing.
Step 5
USPS Drop-Off
Your mailing is delivered directly to the USPS bulk mail entry unit. We provide mailing documentation, piece counts, and postage confirmation. Tracking is available for first-class and Informed Delivery-eligible campaigns.

Mail Formats We Print and Mail

Direct Mail Formats - Postcards, Letters, Flyers, Brochures
Postcards The most cost-effective direct mail format. No envelope required - your message is visible the moment it comes out of the mailbox. Standard postcard sizes (4"x6", 5"x7", 6"x9") qualify for lower postage rates. High-gloss or matte finishes available. Ideal for promotions, event announcements, real estate listings, and appointment reminders. Shop Postcards →
Letters and Envelopes Letter packages include a printed letter, optional inserts such as brochures or reply cards, and a branded outer envelope. Letters command attention because they feel personal and require an action to open. Ideal for financial offers, legal notifications, membership renewals, and any communication that benefits from a private, formal presentation. Shop Envelopes →
Flyers and Self-Mailers Single-sheet flyers and folded self-mailers deliver more information than a postcard without requiring an envelope. Popular for service companies, contractors, restaurants, and retailers that need to communicate multiple offers, service lists, or seasonal menus in a single affordable mail piece. Shop Flyers →
Brochures Tri-fold and half-fold brochures mailed as self-mailers or inside envelopes provide a professional, multi-panel format for communicating your products, services, or company story in detail. Ideal for financial advisors, insurance agents, healthcare providers, and B2B companies where the recipient needs time to evaluate your offering. Shop Brochures →

Frequently Asked Questions

What is standard direct mail?

Standard direct mail refers to bulk mail campaigns sent through USPS standard mail or marketing mail services. Printed materials such as postcards, flyers, letters, and brochures are produced in volume, addressed to a mailing list, sorted to postal standards, and delivered to the USPS for distribution. Standard mail rates are lower than first-class postage, making this the most cost-effective option for high-volume campaigns where exact delivery timing is flexible. Businesses commonly use standard direct mail for promotional campaigns, seasonal offers, event announcements, and service area saturation mailings where reaching a large audience affordably is the primary goal.

What is the difference between standard mail and first-class mail?

Standard mail (also called USPS Marketing Mail) is processed and delivered within 3 to 10 business days and qualifies for the lowest bulk postage rates. It is ideal for promotional content where delivery timing has some flexibility. First-class mail costs more per piece but is delivered faster - typically 1 to 3 business days - and includes forwarding and return services if the address is undeliverable. First-class is the better choice for time-sensitive communications such as appointment reminders, renewal notices, and any piece where you need to know if the address is invalid. Copies America can advise on which class is right for your specific campaign goals and budget.

What is the minimum quantity for a direct mail campaign?

USPS requires a minimum of 200 pieces for standard marketing mail presort rates. Below that threshold, pieces must be mailed at first-class single-piece rates. For most campaigns, quantities of 500 or more are where bulk production and postage economics begin to deliver significant savings. For very small campaigns - for example a targeted outreach to a specific neighborhood or prospect list of fewer than 200 names - we recommend either first-class mailing or a combination of targeted distribution and personal delivery. Contact us with your list size and campaign goals and we will recommend the most cost-effective approach.

How long does a direct mail campaign take from start to finish?

Total turnaround depends on several factors: artwork approval, list processing, print production, and postal preparation. For standard campaigns with print-ready artwork and a clean mailing list, typical production and mailing preparation takes 5 to 7 business days from file approval. Standard mail delivery through USPS then takes an additional 3 to 10 business days depending on destination and postal zone. For urgent campaigns, rush production is available to compress the print and prep timeline. First-class mailing can also be used to accelerate in-home delivery once the pieces enter the mail stream. For campaign-critical deadlines, we recommend calling us before placing your order so we can confirm scheduling.

Do I need to provide my own mailing list?

No. While many clients provide their own customer or prospect lists, Copies America can acquire a targeted mailing list for your campaign based on the criteria you specify - geographic area, demographic profile, business type, homeownership, income range, and many other filters. Purchased lists are sourced from reputable data providers and processed through NCOA and CASS certification before use. If you do provide your own list, we will process it to ensure addresses are USPS-compliant, remove duplicates, and apply any changes of address before your mailing goes to press. Visit our Mailing List Management page for full details.

What sizes and formats work best for direct mail?

The most cost-effective formats for standard direct mail are standard-size postcards (4" x 6" and 4.25" x 5.5"), which qualify for the lowest postcard postage rates. Larger postcards (5" x 7", 6" x 9", 6" x 11") command more attention in the mailbox but carry slightly higher postage. Letter-size self-mailers folded to fit a standard envelope and flyers at 8.5" x 11" are also popular. EDDM campaigns can use oversized flat pieces up to 15" x 12". The right format depends on your message, budget, and how much space you need to communicate your offer effectively. We can advise on the best format for your specific campaign during your consultation.

Can Copies America handle the entire campaign or do I need to manage parts myself?

We handle everything. Copies America is a full-service direct mail provider - we manage design (if needed), printing, list acquisition or processing, addressing, personalization, postal sorting, bundling, and USPS drop-off as a single integrated service. You provide your approved artwork and list (or let us acquire one), and we take it from there. This eliminates the need to coordinate between a printer, a list broker, a mail house, and a postal courier as separate vendors. Having everything under one roof at Copies America also simplifies invoicing, quality control, and scheduling - and means there is a single point of contact when you need an update on your campaign.

How do I measure the success of a direct mail campaign?

There are several reliable methods for tracking direct mail response. The most common approaches include printing a unique phone number on the mail piece that is different from your main business line, adding a QR code that links to a campaign-specific landing page, including a unique promo code that customers must reference to redeem an offer, and using personalized URLs (PURLs) that direct each recipient to a page customized with their name or information. Any of these methods allow you to count responses and calculate your return on investment with precision. For USPS Informed Delivery-eligible campaigns, you can also track when your pieces are delivered to specific households. We recommend building one tracking mechanism into every campaign so you have clear data to evaluate and improve future mailings.
